Reviewing Accounts Receivable

The Orders page is where you keep an eye on what customers still owe you. Use it to spot overdue invoices, see what is coming due soon, and follow up before balances slip.

How to Get There

Go to Sell > Orders in the sidebar.

What to Watch

The Orders table gives you the main Accounts Receivable signals in one place:

  • Invoice Total — The full invoice amount
  • Paid — How much has already been collected
  • Balance Due — What is still outstanding
  • Invoice Due Date — When payment is due
  • Payment Status — Whether the invoice is unpaid, partially paid, paid, or overpaid

The Balance Due column is color-coded:

  • Green — Paid in full
  • Yellow — Coming due soon
  • Red — Overdue

Step by Step

  1. Go to Sell > Orders.
  2. Click the Overdue filter chip near the top to see invoices that are past due.
  3. Click Coming Due to see invoices that need attention soon.
  4. Use the search bar to find a specific customer or order number.
  5. Click the Filter button to narrow the list by Customer, Order Status, Payment Status, or Invoice Status.
  6. Review the Balance Due, Invoice Due Date, and Payment Status columns together to understand which invoices need follow-up first.
  7. Open the row actions menu and choose Send Invoice, Resend Invoice, Request Payment, or Record Payment based on what the customer needs next.
  8. Click an order number or choose View order details to open the order and review the full invoice.

A Simple AR Routine

If you want a lightweight weekly routine:

  1. Open Sell > Orders.
  2. Check Overdue first and follow up on anything red.
  3. Check Coming Due next so you can remind customers before invoices become late.
  4. Record any payments you have already received so your balances stay current.

Good to Know

  • Overdue and Coming Due are based on the invoice due date and remaining balance, not just the order status.
  • The New and To Fulfill filter chips are useful for order processing, but they are not your AR views.
  • If online payments are enabled, Request Payment sends the invoice with a payment link.
  • The table also shows a small mail indicator when an invoice has already been emailed.
