Payment History and Ledger
Once you start accepting payments, you'll want to see what's come in, what's pending, and where your money is. The payment settings area gives you a view of all your transactions.
How to Get There
Go to Configure > Payment Settings and look at the payment history section.
What You'll See
The payment history shows all transactions with details like:
- Invoice reference — Which invoice was paid
- Customer — Who made the payment
- Amount — How much was paid
- Payment method — Bank transfer or card
- Status — Pending, completed, or failed
- Date — When the payment was made
Payment Statuses
| Status | What it means |
|---|---|
| Pending | Payment submitted, waiting for processing |
| Completed | Payment received successfully |
| Failed | Payment didn't go through (card declined, insufficient funds, etc.) |
Payouts
Funds from completed payments are deposited to your connected bank account. The timing depends on the payment method and processing schedule.
Good to Know
- Payment history is linked to your invoices — you can always trace a payment back to the specific order.
- Failed payments don't update the invoice status, so the invoice remains open for the customer to try again.
- For accounting purposes, payment records include all the details you need for reconciliation.
- If you use QuickBooks, payment data can be synced there too.
