QuickBooks Setup Wizard
The Setup Wizard helps you configure how data flows between Peasy and QuickBooks. It runs automatically after your first connection, but you can re-run it anytime from the QuickBooks settings page.
How to Get There
Click Configure (gear icon) in the sidebar, then select Integrations > QuickBooks. From there, start or re-run the Setup Wizard.
Step 1: Customer Sync
Choose how customers are handled:
| Option | What happens |
|---|---|
| QuickBooks to Peasy | New/updated QuickBooks customers appear in Peasy |
| Peasy to QuickBooks | New/updated Peasy customers are pushed to QuickBooks |
| Both directions | Changes sync both ways (recommended) |
| Off | No customer syncing |
After choosing a direction, you can do a bulk sync to bring over all existing records. This runs with a progress indicator so you can see how many records are being processed.
Step 2: Vendor Sync
Same setup as customers — pick a sync direction and optionally bulk sync existing vendors.
| Option | What happens |
|---|---|
| QuickBooks to Peasy | QuickBooks vendors appear in Peasy |
| Peasy to QuickBooks | Peasy vendors are pushed to QuickBooks |
| Both directions | Changes sync both ways (recommended) |
| Off | No vendor syncing |
Step 3: Account Mapping
Map your Peasy categories to QuickBooks accounts (from your chart of accounts). This is important because when Peasy creates invoices or syncs items in QuickBooks, it needs to know which income/expense account to use.
For each category, select the corresponding QuickBooks account from the dropdown.
Auto-Sync Options
After the wizard, you can enable automatic syncing in the QuickBooks settings:
- Auto-sync new customers — When you create a customer in Peasy, it's automatically created in QuickBooks
- Auto-sync new vendors — Same for vendors
- Auto-create invoices — When you mark an order as shipped, an invoice is automatically created in QuickBooks
Good to Know
- The wizard saves your progress — you can come back to it if you need to take a break.
- You can change sync directions and account mappings at any time in the QuickBooks settings, even after completing the wizard.
- Bulk sync shows a progress bar and handles duplicates automatically.
- If QuickBooks has records that match Peasy records by name, the wizard helps you link them instead of creating duplicates.
